PLANNING YOUR SUPER BOWL BREAKFAST

We’re glad that your church will be hosting the Super Bowl Breakfast Simulcast! Please use the resources below to help you plan and promote the event.
 
EVENT PLANNING TIMELINE
 
14 Weeks Before Event
Recruit Volunteer Team Leaders to take responsibility for various tasks

12 Weeks Before Event
Meet with Volunteer Team leaders to brainstorm, strategize, assign tasks
  •  Develop detailed promotional plan
  • Begin promotion in church and community
  • Decide how you want to handle registration, tickets
 
8-10 Weeks Before Event
Have Team Leaders recruit volunteers for their areas
  • Plan food service
  • Contact local pastors to get them involved
  • Continue promotion
 
6 Weeks Before Event
  • Meet with Task Force to update, evaluate, tweak
  • Continue promotion
 
2-3 Weeks Before Event
  • Make sure satellite equipment is in place and functioning
  • Confirm plans for room set-up/clean-up, food service, child care, resource sales
  • Continue promotion
 
1 Week Before Event
  • Perform equipment tests (instructions will be emailed to you)
 
Day Before Event
  • Set up the room
  • Set up areas for registration, food service, etc
  • Put up signs directing attendees to restrooms, child care, etc.
 
Day of Event
  • Make sure you have quality picture and audio via satellite reception before or during the 30-minute countdown period preceding the program.
  • Make sure everything is in place and ready to go.
 
15 Minutes Before Event
  • Make announcement about refreshments, breaks, restroom locations.
  • Introduce your pastor, Men’s Ministry Leader.
PROMOTING YOUR EVENT
We’ll provide a complete set of downloadable promotional materials for you to use to get the word out about the Super Bowl breakfast. (Promotional Toolbox coming soon).
 
Here are some ideas to get you started:
 
PROMOTIONAL IDEAS
  • Have your pastor announce the event from the pulpit – do this several times prior to the event.
  • Use the Power Point slide on Sunday mornings.
  • Hang posters in your church and in your community:
    • Christian bookstores
    • Schools
    • Businesses
    • Other churches
  • Have a ticket table in the church lobby after Sunday services.
  • Stuff bulletins with inserts and put additional copies on your ticket table.
  • Hang posters or flyers in the restrooms at your church.
  • Give flyers to your local Christian bookstore for “bag stuffers.”
  • Make announcements in Sunday School classes, Bible Study classes, Small Groups, etc.
  • Organize a phone campaign to call all the members of your church.
  • Send an email to all those on your churches e-addresses lists.
  • Put a write-up in your bulletin and newsletter.
  • Use the church web site to promote the event.
  • Contact other churches and get them on board!
  • Provide bulletin inserts and posters for other area churches.
  • Send a press release to your local newspaper and organizations.
  • Publicize the event at local Christian schools.
  • Encourage the members of your church to invite friends to the event.
 
TABLE SALES
Approach local businesses and individuals about sponsoring the event by purchasing a table at the Breakfast and filling the table with friends and coworkers who are not Christians. Offer a special ticket price for the purchase of a table.
 
 
 
FOLLOW UP MATERIALS
Plan to provide follow-up cards for your guests. At the conclusion of the event, distribute the cards and ask your guests to fill them out. Along with their contact information, the card should ask them to note if they made a faith decision, if they want more information, or if they would like a church follow-up.
